Since our inception in December 2020, we’ve operated in collaboration with universities and service providers, maintaining a lean and flexible structure. As we scale, we’re seeking an Executive Assistant to support our leadership team, manage key relationships, and contribute to our continued growth and success.
Role Overview:
As the Executive Assistant to the CEO and leadership team, you will play a critical role in managing day-to-day operations, supporting HR functions, overseeing PR and investor relations, and helping shape the company’s culture. You will be the linchpin that ensures smooth operations across departments and supports strategic initiatives, including fundraising and contract management.
Key Responsibilities:
PR & Social Media Management:
- Coordinate with PR agencies, managing website and social media challenges.
- Track communications and ensure the company’s messaging aligns with strategic goals.
HR & Team Coordination:
- Handle accommodation bookings, team event coordination, and reimbursements.
- Support efforts to shape the company culture and ensure smooth employee relocation processes.
- Maintain an efficient process for business-related expenses, including maintaining stock of business cards and other essentials.
Operational Support:
- Attend board meetings, assess logistics, and provide feedback.
- Handle logistics for meetings and events, including room bookings.
- Oversee a degree of product management, ensuring timelines are met.
Relationship Management:
- Act as a liaison between the executive team and employees, contractors, and investors.
- Manage investor relationships and ensure timely communication, tracking of fundraising efforts, and follow-ups.
- Keep track of deadlines, reaching out to investors and service providers when needed.
Contract Management & Relocation Support:
- Assist with preparing, reviewing, and signing contracts.
- Support with relocation logistics for employees and contractors.
General Administration & Support:
- Provide general administrative support to the CEO and senior leadership team.
- Demonstrate strong time management and organizational skills in a dynamic, ever-evolving environment.
Must-Haves:
- Proven experience as an Executive Assistant, ideally in a medical or life sciences company
- Strong organizational and time-management skills, with the ability to juggle multiple tasks in a fast-paced environment.
- Excellent communication skills in English (German not required but is a plus).
- Experience in PR, HR, and operational coordination.
- Prior experience with life sciences, biotechnology, or biology is preferred but not required.
- Ability to work independently, solve problems, and take initiative.
- A hands-on attitude with the ability to be flexible and proactive.
